Summary of key user interactions

Note: This is not a complete list of user workflows, but summarizes several of the most common and important interactions.

1. How applicants apply

To apply, an applicant selects the jurisdictions where they want help. Next, they encounter an input form that combines the data needs of each of the selected jurisdictions. Once submitted, the applicant gets confirmation messages via email or text.

2. How org users receive new applications

Each morning, an org user receives an email with a link to all the new applications that arrived in the past 24 hours. The org user clicks the link and enters their password. After authenticating, they see a list of the new applications, along with a link to view a PDF version. Most likely, the org user will print the applications and file them in their own case management system.

3. How org users can update applicants about their case

To update an applicant about their case, an org user can access a list of all the applications they have received. From any given application, the org user can click a button to update the status of that case. Once clicked, the org user is presented with choices for different case outcomes (for example, "not eligible", "court date scheduled", "granted"), as well as next steps and text input fields. On the next page, these inputs generate a templated message that will be sent to the applicant. The org user may modify this message before sending. Once sent, the notifications are relayed to the applicant and the new status is recorded for that application.

4. How Code for America staff follow up with applicants

One month after applying, the applicant gets an automated message asking how things are proceeding. If the applicant replies to this by email or text, Code for America staff will handle the communication in Front, recording notes on the case and assisting the applicant if necessary.
