List Management
This article explains the different types of lists. First there are the two most important ones: the stocklist and the wish list which are both used to generate a shopping list. Next there is the utility list which serves more as a side note. The last one is the list of packaging units.
All lists can be accessed by the Stock Management pane in the upper part of the screen. To access the packaging unit list you need at least admin rights!
This list can be edited by any user. It contains all consumption items that are already owned by somebody (e.g. remains of the last festival). To add an item to this list click Add item. This open the following dialog:
After submitting the new item, the empty form will appear again to add the next item. To return to the list overview you have to click Return to overview.
If there is already an item on the list that you want to add as well, you have to edit the amount on the existing item.
The general behaviour and features are the same as on the stock overview. On the wish list every participant has to enter their demands of food and other consumption goods. Here applies the same rule as for the stock overview: If you want to add an item, that is already on the list, simply adjust the amount of the existing item!
The shopping list is generated for a selected festival, from either the stock overview or the wish list. During its calculation the amounts to be bought are calculated from the two lists. All items on the wish list, that do not have a counter part in the stock list, are added to the shopping list. Items appearing on both lists, are only added to the shopping list, if the amount on the stock list is too low to cover the demand.
The beverage demand is calculated with the values that each participant has entered in their profile.
The generated shopping list can be exported to a DOCX file by clicking Export as document.
After the purchase is finished, you must also finish it logically. Therefore all items of the list must be confirmed (by clicking the checkmark on the right). When all items are confirmed the purchase can be finished by clicking Finish purchase. This action will transfer all items into the stock overview.
Don't forget to add the invoice of all purchases to the corresponding festival!
This list can be edited by any user. It contains all tools and equipment that are needed for a trip. The list is not needed for any other purpose than giving the participants an overview what is available.
The default install will create some initial packaging units. The admins can configure the packaging units as they see fit, but there are two types that cannot be deleted: cans and sixpacks. They are needed for the calculation of the beverage demands. Deleting them would break this calculation. Renaming them is possible though.
Unified packaging units are necessary for generating the shopping list, as it makes it easier to calculate the difference between stock and wish list.
