Export to Meet Manager Track & Field

There are a few options for exporting to Meet Manager detailed below.

The number of top places from final to include is based on the number entered on Export page, (# Top Competitors/Event). e.g. 2 would include Fist and Second places.

Only Competitors

You can generate a list of your top placing competitors that is suitable to import into Meet Manager.

The export contains the competitors' names, sex and DOB.

  • Meet Manager: Track & Field requires a Semi-Colon Delimited file.
  • Meet Manager: Swimming requires an RE1 Registration file. Note for Athlete ID it will use the ID you loaded with student import, otherwise will generate one.

Competitors and Events

You can export a semicolon delimited file for Meet Manager Track & Field that includes a line for each event a competitor has placed in, with their final time or distance. This can be imported into Meet Manager and should automatically assign athletes to their event entry.

Setup

Team Details

In Utilities -> Export you need to enter in your Team name and Team Code for export. These will usually be provided by meet you are entering.

Event Codes (Only required for Athletics)

In Maintain Event Details you need to enter an Event Code for each event you wish to export. You can leave this blank to skip that event (e.g. House relays).

Event Codes

  • Running Events: Distance without commas, such as 100, 800, 3200, 10000, 1MILE, 2MILE, HMAR half marathon, MAR
  • Hurdle Events: Distance plus H, such as 80H, 400H.
  • Steeplechase Events: Distance plus S, such as 2000S, 3000S.
  • Race Walk Events: Distance plus W, such as 5000W, 20000W.
  • Field Events: HJ High Jump, PV Pole Vault, LJ Long Jump, TJ Triple Jump, SP Shot Put, DT Discus Throw, HT Hammer, JT Javelin Throw, WT Weight Throw, SWT Super Weight Throw
  • Combined-Events: DEC Decathlon, HEP Heptathlon, IPENT Indoor Pentathlon, OPENT Outdoor Pentathlon, TRI Triathlon, WPENT Weight Pentathlon, BI Biathlon, TET Tetrathlon, OCT Octathlon

Division Age Mapping (Only required for Athletics)

Meet Manager Division Age Mappings For Meet Manager to import times and distances it needs to know which Division the athlete is competing in. To facilitate this you need to create a mapping between the ages in your events and the divisions defined for the meet. These will vary for different meets and are set by the meet organiser.

First record the Divisions for the meet you are entering.

  1. In Meet Manager Track and Field demo edition open the Meet file that has been sent to you.
  2. Click Set-up -> Division / Region Names -> Divisions
  3. Take note of the Div# column as this is what you will need to enter for each of your age groups shown.
  4. In Sports Administrator Utilities -> Export -> Configure Age Mapping
  5. Enter matching numbers for Age groups and Age ranges (e.g. 14_U)

Exporting

After completing above set up you can use the Export buttons in Utilities -> Export. You can either export the list of Athletes with their results in the final. Therefore, if one student won three different events he would have three entries each with event code and their time/distance.

Importing

Track and Field

Import Entries from a Semi-Colon Delimited File

Meet Manager Track and Field allows you to import a list of competitors with their events as a Semi-Colon Delimited. This can be imported by using File -> Import -> Semi-Colon Delimited Rosters/Entries

Swimming

Import Athletes from a Registration File

In Swim Meet Manager:

  • Choose File -> Import -> Registration File. Choose the RE1 file you exported above.
  • Click Yes to continue import if you are happy with summary.
  • Click Yes to import all Teams
  • Click Yes to Add New Athletes
  • Click OK to review

There is a bug in the import process where if you have two or more students with the same first and last name, but different ID and DoB Meet Manager will assume they are the same athlete. It will then update the first athlete's details with the second ones DOB and ID. If this occurs you will receive a warning about "existing athletes were updated with ID or birth date". You can manually edit the RE1 file in a text editor and add an Athlete initial in field 4 after the given name, between the ;; e.g. "4323";"Bao";"Bob";"R";"M";
