- Organizing Open Meetings - how should we organize how we organize these? Group effort, a few people lead it with input from whole ICC?
- Organize October's Open meeting: Presentations? Discussions? (With some time cordoned off for "large community discussion" by Event Planning CMTE.

- From Jenna: The next Open Meeting is Tuesday, October 26th. Previously suggested content for this meeting include ISLE workshops (such as "how developers work with ISLE", docker lessons), and some continuation of the Islandora Roadmapping events from the September Open meeting. If this is still of interest, please let me know in the notes or by email/Slack the names of 1-3 topics or presenters that you would like me to pursue.
- This meeting will take place after my final day (Oct 15th), and will require a host/facilitator. I can assist with scheduling & any communication with presenters, or advertising to the community, through this date.
Rosie asked if anyone had a question about the previous ICC meeting. No question. New business: Discussion “what does ICC do?”:
- The link to the newest version of the bylaw is https://islandora.ca/if/bylaws.
- The bylaw does not clearly clarify the specific roles/directions of the ICC (Amy).
- Talking about the membership of ICC (Roadmap Committee), Leadership Group, Partnership (Mike, Rosie and Kirsta).
- When Melissa and Danny were in our committee, ICC seemed functioning. We feel disconnected from other groups now. Sounds like the tech group and the leadership group have direct communication, but ICC does not have the connections between any groups. (Drew).
- Kirsta and Rosie responded to Drew’s concerns. ICC does have connections with groups (such as interest groups and tech group) and ICC is playing the roles as it was designed.
- How the leadership group views us and what they want us to do/bring to them (ICC)? (Mike)
- Kirsta talked about how the leadership group is running regarding to Mike’s question.
- Mirko and Kirsta further talked about relationships between the leadership and ICC, strategic vs operational. A statement may be needed to clarify ICC’s roles.
- What does ICC do was vague when Melissa and Danny were in the committee, it is vaguer now. The leadership group is taking strategic approach and ICC taking more operational (coordinating events or implementing sprint) (Rosie).
- There is a gap between the things need to be done (Amy).
- Bethany mentioned the roles Melissa played in term of organizing events; Kirsta talked about how the event was organized in University of Toronto a few years ago; In covid time (2020), ICC team played an important role in organizing online even, “Islandora Online” (Amy and Rosie); Mike mentioned the event in Vancouver and Arizona. Volunteering efforts rather than hierarchical structure (Kirsta).
- Is there a need to create a link between the interest groups and people who are not in these groups (Rosie)?
- Melissa and Danny’s leave give us an opportunity to think how to build a stronger Islandora community, such as a long term paid position/long standing chair. In short term, we need more staff coordination (Kirsta).
- Joint meeting from different groups (Mirko) and fixed chair (Kirsta) suggested.
- Chair roles/responsibilities (know the people’s expertise in the groups and their relationships with interest groups) (Mike and Kirsta) and meeting structure/documentation (Amy and Kirsta)
- The idea to support L10 and make everything systematically and purposely (Dara)
- Chair candidate’s selection (Drew and Bethany).
- The relationship with Interest groups, reporting/communication structure (Mirko).
- Rosie suggests that Kirsta takes this ICC note to the leadership group next Friday.
How to organize Islandora Open Meeting (Oct. 26)
- discussed how to organize the Open Meeting in the previous ICC meeting.
- suggested we need a structure for the open meeting (Bethany).
- Jenna will prepare some details the next meeting before she leaves in October.
- The topics for the meeting: how to use docker and ISLE. Kirsta provided the structure of the open meeting last year.
- Based on Jenna’s email about the schedule for next open meeting, there are a couple of options: 4 hours on ISLE, or combined ISLE theme with others (Mirko).
- Bethany’s suggestions on how to use docker (20-30 minutes) and install ISLE and happy to help.
- Prepare the meeting’s materials in advance for the users who may want to know more/do some hand-on before the open meeting (Drew).
- Setup the time for community to ask questions (Amy and Bethany).
- Some details about the open meeting: 15 minutes for intro, 75 minutes for ISLE, 30 minutes for questions and break, 1 hour community discussion, 30 minutes for Q/A.
- Will need a facilitator for the open meeting, which will discuss in next ICC meeting.
- Bethany will help on the issues related to docker in the open meeting, such as reach out and contents.
- Will keep discussing how to organize the open meeting in next ICC meeting.

- IR group may need help ( which will be put on the agenda for coming ICC meeting).
